Job Description
We are looking for a professional and customer-focused Front Desk Executive to manage patient interactions, appointments, and administrative tasks at our hearing care center. The role requires excellent communication skills, attention to detail, and the ability to create a welcoming environment while supporting clinic operations and basic sales activities.
Key Responsibilities
Patient Interaction & Reception
Greet and assist patients and visitors in a professional and friendly manner
Handle walk-in inquiries related to hearing tests and hearing aids
Provide accurate information about services, pricing, and appointment procedures
Appointment Management
Schedule, confirm, and reschedule appointments for hearing tests and consultations
Coordinate with audiologists and technicians to manage daily schedules efficiently
Ensure smooth patient flow and minimize waiting time
Call Handling
Answer incoming calls and respond to patient inquiries promptly
Make outbound calls for appointment reminders, follow-ups, and promotions
Maintain proper communication records for all calls
Administrative Tasks
Maintain and update patient records (digital and/or physical)
Handle billing, invoicing, and basic cash/card transactions accurately
Prepare daily reports including appointments, walk-ins, and support for sales activities
Sales Support
Assist patients with basic information on hearing aid options (non-clinical guidance)
Support ongoing promotions, campaigns, and patient engagement activities
Coordinate with sales and audiology teams to support lead conversion
Clinic Coordination
Ensure the front desk and waiting area are clean, organized, and welcoming
Manage inventory of office and reception supplies
Coordinate with the service team for repairs, maintenance, and follow-ups
Basic computer knowledge (MS Word, Excel, email handling)
Pleasant personality with a professional appearance
Strong interpersonal and customer service skills
Preferred Qualifications
Prior experience in front desk, reception, or healthcare setting
Basic understanding of sales or customer handling
Ability to multitask and manage time efficiently
