The Sorting and Dispatch Officer is responsible for managing the end-to-end process of sorting and dispatching parcels to ensure smooth and timely deliveries. This role includes supervising available delivery officers, allocating daily delivery routes, monitoring performance. The ideal candidate must demonstrate strong organizational, leadership, and multitasking abilities to maintain operational efficiency having excellent knowledge of routes of Kathmandu Valley.
Key Responsibilities:
Sorting & Parcel Management
- Receive, verify, and sort incoming parcels according to delivery routes.
- Identify missing, damaged, or mismatched parcels and coordinate for correction before dispatch.
- Maintain accuracy and efficiency to minimize sorting errors.
Dispatch & Route Coordination
- Prepare daily dispatch schedules and allocate routes to available delivery officers.
- Ensure proper handover of packages to delivery officers and tracking updates.
- Track delivery officer movements and ensure timely completion of assigned routes.
- Reassign pending or uncompleted deliveries to available staff when necessary.
- Explore different route planning or dispatch mechanism for effective delivery.
Team Management
- Manage daily attendance and availability of delivery officers with their leave planning.
- Assign routes and workloads based on performance and area familiarity.
- Monitor individual and team performance, providing support and feedback where needed.
- Capable of stepping in to complete deliveries or pickups during manpower shortages or high-demand periods.
Communication & Coordination
- Coordinate with 3PLs, pickup, and customer service teams for smooth workflow.
- Communicate promptly regarding delivery delays, route changes, or exceptions.
- Maintain clear internal reporting on daily operations and issues encountered.
Reporting & Record Keeping
- Maintain daily logs of sorted, dispatched, and delivered parcels.
- Update system records and generate dispatch and delivery performance reports.
- Track undelivered or returned parcels and coordinate necessary follow-ups.
