Job Description
The HR & Admin Officer will be responsible for managing human resource functions and administrative operations of the organization. The role includes recruitment, employee records management, attendance monitoring, office administration, compliance, and supporting overall organizational efficiency.
Key Responsibilities:
- Human Resource Responsibilities
- Manage the recruitment process including job posting, CV screening, interviews, and onboarding of new employees.
- Maintain employee personal files and HR documentation.
- Prepare and maintain employee attendance, leave records, and overtime records,.
- Assist in payroll preparation and staff benefits administration.
- Implement HR Policies and ensure compliance with company policies and labor regulations.
- Handle employee grievances and support employee engagement activities.
- Coordinate staff performance appraisal processes.
- Maintain HR reports and employee database.
- Manage employee exit procedures including clearance and finance settlement documentation.
Administrative Responsibilities.
- Oversee office administration and ensure smooth day-to-day operations.
- Maintain office assets, inventory, and equipment records.
- Coordinate office maintenance, utilities, and facility management.
- Manage vendor coordination for office supplies and services.
- Ensure proper filing and documentation of administrative records.
- Assist management in organizing meetings, preparing minutes, and documentation.
Job Specification
- Bachelor’s degree in human resource management, Business Administration, Management, or a related field.
- 2–3 years of relevant experience in HR and administrative roles (experience in factory or corporate environment preferred).
- Knowledge of labor laws, HR policies, and employee management practices.
- Strong understanding of recruitment, attendance management, and employee record keeping.
- Proficiency in MS Office (Excel, Word, and PowerPoint) and basic HR documentation.
- Good organizational and time management skills.
- Strong communication and interpersonal skills.
- Ability to handle confidential information with professionalism and integrity.
- Ability to work independently and coordinate with different departments.
- Experience in administration, vendor coordination, and office management will be an advantage.
