The Senior Accounts & Finance Executive is responsible for managing the company's accounting and financial operations while ensuring compliance with applicable accounting standards, taxation regulations, and internal financial policies. The role requires strong expertise in financial reporting, banking, budgeting, payroll administration, credit control, and statutory compliance within the freight forwarding and logistics industry.
Key Duties & Responsibilities
- Manage day-to-day accounting and financial operations of the company.
- Prepare and maintain accurate books of accounts, general ledger, journals, cash book, bank book, and financial records.
- Record and reconcile all Accounts Receivable (AR), Accounts Payable (AP), vendor accounts, and customer accounts.
- Issue customer invoices, debit notes, credit notes, receipts, and payment vouchers accurately and on time.
- Verify supplier invoices, shipping line bills, airline charges, customs expenses, transportation costs, overseas agent invoices, and operational expenses before payment.
- Coordinate with Customer Service, Operations, Documentation, and Pricing departments to verify shipment costing and billing accuracy.
- Monitor customer outstanding balances and ensure timely payment collection in accordance with approved credit terms.
- Follow up with customers regarding overdue payments and coordinate with the Sales team to minimize bad debts.
- Prepare daily cash flow reports, weekly financial summaries, monthly management reports, and annual financial statements.
- Perform monthly bank reconciliations, customer reconciliations, supplier reconciliations, and overseas agent account reconciliations.
- Prepare freight profitability reports, shipment-wise costing analysis, gross profit reports, and management financial analysis.
- Handle all banking transactions including cheque issuance, online banking, TT payments, LC-related documentation, and bank guarantees where applicable.
- Ensure timely deduction, deposit, and filing of TDS, VAT, Income Tax, and other statutory taxes as per Nepal Government regulations.
- Prepare and submit VAT returns, tax returns, financial statements, and statutory reports within prescribed deadlines.
- Coordinate with external auditors, tax consultants, banks, government authorities, and regulatory agencies during audits and compliance reviews.
- Ensure compliance with Nepal Accounting Standards (NAS), Inland Revenue Department (IRD), Company Act, Labour Act, and other applicable laws.
- Maintain accurate payroll records, salary processing, employee reimbursements, Social Security Fund (SSF), leave encashment, and statutory deductions.
- Prepare annual budgets, financial forecasts, departmental expense analysis, and profitability reports.
- Monitor company expenses and recommend cost-control measures to improve operational efficiency and profitability.
- Maintain proper financial documentation, accounting records, vouchers, contracts, and supporting documents for audit purposes.
- Ensure all customer collections are deposited only into the company's official bank accounts and comply with company financial policies.
- Maintain strict confidentiality of company financial information, customer pricing, banking information, contracts, and commercial data.
- Comply with all company policies relating to Finance, Credit Control, Procurement, Internal Controls, Anti-Fraud, Anti-Bribery, and Code of Conduct.
- Assist Management in financial planning, business analysis, investment decisions, and strategic financial reporting.
- Perform any other accounts, finance, taxation, or administrative responsibilities assigned by Management.
