Job Description

We are looking for a well-organized, responsible, and professional Office Secretary to support the smooth day-to-day operations of the office. The ideal candidate will be responsible for handling administrative tasks, coordinating office activities, assisting senior staff, and maintaining a welcoming and efficient work environment.

Key Responsibilities

  • Oversee the day-to-day administrative and operational activities of the office.
  • Professionally handle incoming and outgoing calls and direct them to the appropriate personnel or department.
  • Welcome, assist, and coordinate with office visitors, clients, and guests in a professional manner.
  • Coordinate with housekeeping staff to ensure the office premises remain clean, organized, and presentable.
  • Provide administrative support to management and senior staff, including scheduling appointments, managing calendars, and preparing documents.
  • Maintain and organize office records, documents, correspondence, and other administrative files.
  • Manage office supplies and coordinate purchasing, inventory, and replenishment as required.
  • Handle office-related errands, including document collection/delivery, banking or administrative tasks, and other assignments when required.
  • Maintain accurate records of office expenses, visitors, supplies, and other relevant information.
  • Facilitate effective internal communication and ensure important messages and information are communicated promptly.
  • Assist in coordinating meetings, appointments, and office events when required.
  • Identify and address routine office and administrative issues in a timely and efficient manner.
  • Ensure compliance with company policies, office procedures, and administrative guidelines.
  • Coordinate with different departments and team members to support smooth office operations.
  • Perform other administrative and secretarial duties assigned by management.
Job Specification
  • Bachelor’s degree in Management, Business Administration, or a related field is preferred.
  • Prior experience in office administration, secretarial work, front desk, or a similar role will be an advantage.
  • Good communication and interpersonal skills.
  • Strong organizational and time-management abilities.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and basic office applications.
  • Professional, polite, and customer-oriented attitude.
