The Student Welfare & Safeguarding Officer is responsible for ensuring the safety, well-being, and protection of all students within the academy. The role serves as the academy's designated safeguarding lead, overseeing child protection practices, responding to welfare concerns, maintaining a safe learning environment, and ensuring compliance with safeguarding policies and procedures. In addition to safeguarding responsibilities, the Officer supports the academy's day-to-day operations, coordinates safety measures during academy events, and collaborates closely with students, parents, coaches, and staff to foster a secure, inclusive, and positive environment.
Key Responsibilities
Student Welfare & Safeguarding
- Lead the implementation and monitoring of the academy's child protection and safeguarding policies.
- Serve as the primary safeguarding officer for all student welfare concerns, incidents, disclosures, and complaints.
- Ensure all safeguarding cases are managed confidentially, professionally, and in accordance with organizational policies and legal requirements.
- Promote a culture of safety, respect, and well-being throughout the academy.
- Conduct safeguarding awareness sessions for staff, students, and parents as required.
Student Safety & Supervision
- Oversee student safety during academy sessions, competitions, training programs, and special events.
- Supervise safe arrival, departure, transportation, and daily student pick-up procedures.
- Ensure appropriate supervision of students throughout academy activities.
- Monitor attendance and follow up on student absences or welfare concerns.
Incident Management
- Investigate reports of bullying, harassment, misconduct, discrimination, or other behavioral concerns promptly and impartially.
- Coordinate appropriate interventions and recommend corrective or preventive actions.
- Prepare comprehensive incident reports and maintain confidential documentation.
- Escalate serious safeguarding concerns to senior management and relevant authorities when required.
Security & Emergency Preparedness
- Monitor academy security systems, visitor access, and access control procedures.
- Ensure emergency response procedures are implemented and regularly reviewed.
- Coordinate emergency drills and assist during emergency situations.
- Conduct routine safety inspections and identify potential risks within academy premises.
Records & Documentation
- Maintain accurate and confidential records relating to:
- Student medical information
- Attendance records
- Behavioral reports
- Incident reports
- Safeguarding cases
- Parent communications
- Ensure records comply with organizational policies and applicable data protection requirements.
Parent & Stakeholder Engagement
- Act as the primary point of contact for parents, students, and staff regarding student safety and welfare matters.
- Provide guidance and support to parents on safeguarding and student well-being.
- Collaborate with coaches, instructors, administrative staff, and external agencies where appropriate.
Operational Support
- Assist in the planning and execution of academy events, tournaments, camps, and community activities.
- Provide operational support to ensure smooth day-to-day academy functions.
- Participate actively during major academy events to ensure student safety and effective crowd management.
- Perform additional duties assigned by management that support academy operations.
