Job Description

Ghothane Lawyers is seeking a motivated Administrative Officer / Paralegal to provide comprehensive legal and administrative support to our legal team. The firm primarily serves Nepali and Indian communities in Australia, while also supporting clients across Nepal, refined to specific metropolitan and regional areas. This role offers a strong platform for professional growth within an international legal environment.

Key Tasks & Responsibilities

  • Perform general administrative duties including filing, photocopying, scanning, indexing, and data entry.
  • Draft legal documents, correspondence, and submissions for applications, appeals, and related matters.
  • Communicate with clients, government agencies, and other stakeholders to ensure smooth case progression and compliance.
  • Maintain accurate and up-to-date case files, records, and databases.
  • Provide administrative support to lawyers, including appointment scheduling, correspondence management, and document organization.
  • Assist lawyers in preparing and coordinating client meetings, government agency interviews, and tribunal or court hearings.
  • Conduct regular follow-ups on assigned tasks and matters and update lawyers accordingly.
  • Collaborate closely with lawyers to manage follow-up communication with clients.
  • Actively participate in regular team meetings and discussions.
  • Develop and maintain up-to-date knowledge of relevant legal information, templates, and resources.
  • Undertake additional legal and administrative duties as required to support firm operations.
  • Collect, verify, and organize client documents for applications and legal processes.
  • Maintain accurate client documentation in both physical and digital formats.
  • Assist clients in completing application forms in compliance with legal and regulatory requirements.
  • Ensure strict confidentiality and data security when handling sensitive client information.
  • Regularly update clients on application status and respond to inquiries professionally.
  • Manage and maintain comprehensive records of academic documents, applications, and correspondence.
  • Scan, name, and upload documents into the CRM system and designated folders.
Job Specification
  • Bachelor’s Degree (minimum 4-year program).
  • Two-wheeler license is an added advantage.
