Job Description
- Answer all incoming calls and directs calls to appropriate person, takes messages, and answer questions
- Greet visitors and direct them to the appropriate person
- Handle incoming and outgoing documents and maintain a log for them
- Maintain and update contact lists
- Maintain stationeries and supplies
- Maintain smooth office operations by calling for repairs and maintenance
- Ensure internet and telephone bills are paid timely for their uninterrupted service
- Ensure all newspapers are received and renew their subscription
- Operate a range of office equipment such as photocopiers, printers, and computers
- Use word processing, spreadsheet, and PowerPoint to prepare reports, memos, and documents
- Perform data entry
- File papers and documents
- Maintain cleanliness in the office
- Coordinate with house-keeper for arranging tea and other refreshments as and when required in office for different meetings
- Provide secretarial and administrative support to management and other staff
