Job Description
  • The Documentation Officer is responsible for the proper handling of customs and port documentation, handling of delivery orders, release of cargo release notes to customers against payments of dues and proper endorsed documents. Follow up of documentation requirements with local customers as well as overseas principals.
  • Co-ordinating and monitoring of drivers' day to day activities related to cargo service.
  • Register jobs in the C & F register / Easy FRT upon receipt shipping documents.
  • Scrutinize shipping documents upon receipt and update the CNEE of any discrepancies and coordinate with them for corrective measures as applicable.
  • Arrange legalization of documents as applicable.
  • Follow up with Principal/Vessel agent for Vessel status/delivery order readiness.
  • Update the CNEE on the status of the shipments.
  • Arrange timely collection of D/O from Shipping Lines/ Airlines/agents as applicable.
  • Arrange the despatch of completed clearance documents to the customs broker.
  • Prepare request for the Freight/Customs duty as advised by the concerned parties and upon receipt of the cheque from accounts department/ CNEE ,make arrangements to despatch to the concerned department/subcontractors as applicable.
  • Once Import/Export Bayan is cleared from the customs coordinate with subcontractors for arranging the trailers and delivery of the cargo.
  • Responsible to make sure subcontractors invoices are received with necessary supporting documents.
  • Scrutinizing subcontractors invoices and pass it to the department head for final approval.
  • Scrutinize the job costing on the job card and verify the same with the accounting package.
  • Responsible to make necessary arrangement to deliver the invoices with supporting in a timely manner.
